Portland Furnished Rental Move-In Checklist: What to Document on Day One

Protecting your deposit starts the moment you walk in the door. Here's what to document before you unpack.

Security deposit disputes are the most common source of conflict between furnished rental guests and landlords. The dispute almost always comes down to the same question: was the damage there before the guest arrived, or did the guest cause it? Without documentation, it's your word against the landlord's — and landlords hold the deposit.

A thorough move-in inspection, documented with photos and timestamps and shared with the landlord on day one, is the most effective protection available. It takes 20–30 minutes and can save you hundreds or thousands of dollars at the end of your stay.

The Reality

What to Document on Move-In Day

Work through the property systematically, photographing any existing damage, wear, or issues. Start with the exterior (if applicable): document any scratches, dents, or damage to doors, windows, or the building facade. Move to each room in sequence, photographing walls (looking for scuffs, holes, or stains), floors (scratches, stains, or worn areas), ceilings (water stains, cracks), and windows (chips, cracks, or broken locks).

In the kitchen, document the condition of appliances (inside and out), countertops, cabinet doors, and the sink. In bathrooms, photograph the condition of the toilet, tub/shower, sink, and any tile or grout issues. In bedrooms, document the condition of the mattress, bed frame, and any furniture.

For furnished rentals specifically, also document the condition of all furniture: sofas, chairs, tables, and any decorative items. Note any items that are already damaged, missing, or not functioning. Check all appliances and confirm they work: dishwasher, washing machine, dryer, oven, microwave, and any other included appliances.

Once you've completed the inspection, send the photos to the landlord via email or text — something with a timestamp and a record. Ask the landlord to acknowledge receipt. This creates a documented baseline that protects both you and the landlord.
